Avia Solutions Group is backed by over 12,000 highly skilled aviation professionals worldwide. We are now looking for Office administrator in our Vilnius, Lithuanian office.

Responsibilities:

  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Assist C-level management and all stakeholders group companies as needed with scheduling & time management, domestic & international travel, phones, correspondence, etc.
  • Develop, maintain & update office policies and procedures, and ensure they are implemented appropriately
  • Ensure high levels of organizational effectiveness, communication and safety
  • Interact with landlord management
  • Interact with IT consultants to manage and maintain IT infrastructure
  • Identify opportunities for process and office management improvements, and design and implement new systems
  • Provide other administrative support as necessary, including scheduling group meetings, travel logistics, maintaining calendars, doing research, and creating reports
  • Assist with logistics for conferences/conventions/trainings/events
  • Coordinate and manage payroll & deposits with internal/outside accountant
  • Perform receptionist duties: greet visitors, and answer and direct phone calls
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Assist with Accounts Payable & Receivable and input into relative systems
  • Manage office supplies & kitchen inventory and place orders as necessary

Requirements:

  • Experience in customer service would be an advantage
  • Excellent English and Lithuanian written and verbal communication skills
  • Previous experience working with any documents management system can be an advantage
  • Excellent time management skills and ability to multi-task and prioritize tasks
  • Attention to detail and problem-solving skills, proactive mindset
  • A creative mind with an ability to suggest improvements
  • Knowledge of office administrator responsibilities, systems and procedures
  • Can-do with a smile attitude
